The wd corporate events planner’s role is to plan, coordinate, and execute meetings, conferences, and special events for western digital customer organization employees and its affiliated associationsThis includes small and large meetings, 50 people to 1,000Most events include gathering event requirements, leading meeting stakeholders through the planning / decision making phase, site proposals, site selection, support through contract negotiations, 3rd party vendor selections, coordinating marketing requirements and communications, and execution of meeting logistics (design, technical delivery, and value proposition)This position coordinates the event budget, billing, and reconciliation of expenses.
Minimum 3 years related conference, facility, and/or special events management experience requiredMust work occasional evenings and weekends as required.
Duties and responsibilities:
Meets with meeting sponsors to determine program requirements
Secures proposals for event locations and accommodations.
Develops overall event plan, budget, and responsibility / timeline matrix
Coordinates customer invitations, advance and on-site registration processes, and post-event follow-up evaluations.
Negotiates contracts with vendors to ensure acceptable terms and basic / competitive pricing.
Coordinate logistics for in house meetings including timeline development and onsite support with emphasis on food and beverage, rooming management, vendor relations and customer service
Works with accounting to reconcile payments with individual cost centers as applicable
Facilitates the decision-making process with purchasing and meeting sponsors.
Support the overall planning, coordination, and execution of all events and promotions, coordinate assistance from other departments.
Research, develop and manage relationships with vendors/entertainment to ensure all prerequisites are met during the events and promotions
Create rules for all events and promotions; seek approval from compliance, legal and marketing teams as appropriate
Recommend gifts for events/promotions and schedules, prepare gift presentations
Process payments for vendors and event/promotion collateral, including creating check requisitions and purchase requisitions for approval and ensure payment is received
Attend events and promotions to ensure all details are attended to and serve as the point of contact for any potential issues
Knowledge, skills, and abilities
Proficiency in microsoft office, excel, teams, and outlook
Able to effectively communicate in english, in both written and verbal forms
Ability to multi-task and work well in a fast paced, team-oriented environment
Excellent organizational skills to function effectively under time constraints and within established deadlines, with particular attention to detail
Excellent customer service skills and interpersonal skills to effectively communicate with all business contacts

Compensation & benefits details
An employee’s pay position within the salary range may be based on several factors including but not limited to (1) relevant education; qualifications; certifications; and experience; (2) skills, ability, knowledge of the job; (3) performance, contribution and results; (4) geographic location; (5) shift; (6) internal and external equity; and (7) business and organizational needs.
The salary range is what we believe to be the range of possible compensation for this role at the time of this postingWe may ultimately pay more or less than the posted range and this range is only applicable for jobs to be performed in colorado or remote jobs that can be performed in coloradoThis range may be modified in the future.
You will also be eligible to participate in western digital`s short-term incentive (sti) plan and to receive equity awards under our annual long-term incentive (lti) program, which consists of restricted stock units (rsus), pursuant to the terms of these programsRsu awards are also available to eligible new hires, subject to western digital’s standard terms and conditions for restricted stock unit awards.
