This client specializes in the prevention of alzheimer’s, heart attacks, and strokes by utilizing functional medicineEach patient is a part of an individualized program developed by the physician to treat their specific conditionsEach program is accompanied by detailed documents that are compiled in notebook form to assist the patient in their journey to optimize their health.
As our medical executive assistant, you will support day-to-day operations by performing administrative tasks and ensuring high quality customer service for our patientsMultitasking and ability to prioritize are essential to this roleWe also expect you to handle sensitive information confidentiallyIf you are able to combine exceptional communication skills with an ability to perform ‘behind the scenes’ tasks, we would love to meet you.
Ultimately, you should be able to ensure our medical facility’s smooth operation by accurately completing administrative tasks in a timely manner.
This position will begin part time – 20-25 hours per weekWhile the timing of some tasks is flexible, it is helpful to be able to commit to being available from 9:30 am-1:30 pm.
The following may be helpful, but are not requirements: home base in colorado, having some background medical knowledge, passion for alzheimer’s and/or general health and well-being..
Update and maintain accurate patient health records, including pulling labs from appropriate sites
Assist patients with initial paperwork
Use electronic medical records to support all transactions
Manage receivable and payable accounts and maintain financial records
Answer patients’ queries and ensure quality customer service
Collaborate with doctor to order test kits and supplies
Ensure compliance with procedures
Keep up-to-date with changes in medical and insurance legislation
Supporting day-to-day function of doctor; writing and editing emails and preparing communications on the doctor's behalf
Creating personalized documents and reports to be mailed to the patient before telemedicine appointments as needed
Performing minor accounting and bookkeeping duties
Scheduling telemedicine appointment, sending reminders and troubleshooting technology issues with patients and/or caregivers.
Answering incoming phone calls in a polite and professional manner and answering initial questions about the program
Using various software, including dropbox, electronic medical records, adobe, word processing, and spreadsheets
Maintaining and assembling a supply box for patients to begin the program
Mailing patient document packets and binders
Manage spreadsheets, timelines and lab result websites in order to track patient progress
Exceptionally detail oriented
In depth understanding of excel spreadsheets
Microsoft excel and word (desktop version - can be through office 365, but cannot be the web version)
Understanding of adobe signature
Access to dropbox
Grammar and spelling is particularly important
Willing to provide basic tech services to patients who have trouble using / accessing video conferencing, online applications, or software
Ability to use colored printer at home
If the printer has an option for printing duplex, that will make your life easier!
Availability to respond to patients within 24 hour period
Familiarity with / willingness to learn:
Hipaa compliance training
Filling out lab requests (online and paper)
Ordering lab kits
Retrieving lab results
Scheduling appts in multiple time zones
Ring central software
This will begin as a contract position, through the modern admin companyCompensation begins at $16/hr for a trial period of 30-60 daysOnce the trial period is over, compensation will range between $18-22/hr depending on experience and quality of work.
