Work schedule: monday – friday with flexible working hours between 7:30a – 6:30p
The new plans specialist is responsible for managing all administrative processes related to establishing and onboarding new 401(k) plans in company systemsPrimarily by performing due diligence review of plan documents, setting up plans using crm software, collaborating with internal departments, and providing customer service support to employers, professional employer organizations (peos), and internal retirement plan advisors.
Performs due diligence review of plan documents, such as the adoption agreement, plan amendment(s), plan evaluation survey, etc., to ensure compliance with irs regulations.
Regularly communicates with the internal retirement plan advisor via email or through tasks in salesforce.com regarding plan onboarding timelines and/or plan compliance issues.
Processes both single employer plans and multiple employer plans (meps) using salesforce.com and relius.
Reviews plan information for accuracy and plan specifications for compliance before being sent for client signature via docusign.
Ensures the secure receipt and accuracy of client census information, which contain sensitive participant data used to determine plan eligibility.
Frequently communicates via phone or email with peos regarding client ids, payroll frequency, and participant compensation information in order to onboard a new mep plan.
Occasionally establishes new plans manually in systems using relius and/or simis by establishing the employer in the system and entering all plan requirements.
Processes co-adoptions through relius for subsidiaries that meet certain criteria under the internal revenue code (irc).
Confirms the accuracy and compliance of the co-adopting entity’s census, plan evaluation survey, and participant agreement form.
Processes sponsor web portal forms and sponsor express forms for meps within the contact management system (simis) giving clients secure access to plan information.
Processes enrollment forms submitted via the department inbox within the sla turn around time.
Provides quality customer service when communicating with both internal and external contacts.
Completes cases assigned from the department inbox by answering any questions from clients.
Skills & abilities
Strong communication skills, both written and verbal
Demonstrated knowledge of microsoft office (word, excel, outlook)
Extremely detail oriented and organized
Comfortability managing highly repetitive tasks
Ability to prioritize competing tasks in a fast-paced environment
Knowledge of irs and dol regulations as they pertain to retirement plans
1 year of 401(k) industry experience highly preferred
2-3 years of administrative support experience
1-2 years of customer support experience
1-2 years of crm experience (preferably salesforce.com)
Associate’s degree in business, finance, or related field of study
Or equivalent combination of education and experience
Certificates & licenses
Slavic401k compliance course certification completed within 90-days with a final exam score of 70% or better.
Extended sitting and computer work.
