The jacobs real estate lease administration group is seeking a remote commercial real estate lease administrator for its corporate real estate operations teamThis role will report directly to the manager of lease administrationThe ideal candidate will be a seasoned lease administrator with broad understanding of lease administration, lease accounting standards and principles, lease terms and conditions, and preferably some experience with commercial real estate leasesThe jacobs real estate lease administration group is responsible for abstracting and maintaining critical lease information in our managepath database systemThe commercial real estate lease administrator will read, interpret, and abstract complex commercial real estate office leases and subleases for a global real estate portfolio of ~400 leasesThe role involves reporting on lease data and working with the finance team to ensure accuracy of lease accounting for financial reporting.
Here’s what you’ll do to make an impact:
Review, abstraction, database input, and maintenance of critical data from new real estate leases, amendments, extensions, or expirations
Conduct quality review of lease abstraction and database to ensure accuracy of information and compliance with data standards
Maintain working/electronic lease files and ensure that all files are updated and complete and follow corporate standards for records retention
Ensure lease data complies to asc 842
Accurately input data for notifications of stakeholders of critical dates – e.gRenewal, termination, lease/rent commencement notices and other notices as required by the lease
Prepares and distributes critical date and other ad hoc reports from the database
Work with manager to maintain system data and information for management tracking report; assist in managing lease deadlines and compliance within required timeframes.
Research and gather information, lease terms and other relevant items as requested
Assist legal in the interpretation of leases and resolution of tenant/landlord issues
Work with legal to process sndas and estoppels
Review landlord invoices (e.gRent, cam, taxes, insurance, etc.) in conjunction with lease requirements and collect proper supporting back-up documentation from landlords/billing authorities
Identify and track savings from invoice and statement reconciliation
Monitor audit windows and audit requirements contained in the lease documents
Work with facilitates management to gather required information such as certificates of occupancy, lien waivers, invoices, as-built drawings, certificates of insurance, etcRequired to collect tenant improvement allowances
Proficient in professional email communication, including with team members across the world in many different time zones.
Timely, accurate and properly formatted delivery of all standard and ad hoc lease administration reporting
Establish and improve processes to ensure lease administration functions are complete, efficient and produce accurate results
Here’s what you’ll need:
At least 3 years of experience in commercial lease administration, including knowledge of lease accounting principles and expertise in commercial office lease terms and interpreting complex commercial lease language
High school diploma
Experience with managepath or equivalent lease administration software
Familiarity with asc 842 lease accounting standard
Proficient in microsoft office suite
Excellent oral and written communication skills
Strong organizational abilities and attention to detailAble to multi-task; ability to self-start and work well independently and with a team
Effective interpersonal skills
Proven success working within a dynamic, changing, and challenging environment
Ideally, you`ll also have:
Bachelor’s degree preferred in real estate, accounting/finance, business administration
