Summary of job purpose:
The rfp/crm coordinator is responsible for reviewing rfps to develop schedules, outline assignments, and ensure compliance with rfp requirementsThis role works day to day with the engle martin business development team to assemble the best, most comprehensive rfp response to the customerThe role will also be responsible for assisting the business development (including sales and marketing) team with creating client stewardship reports and presentations as well as a variety of other sales account dutiesThis role requires a fast learner with a strong attention to detail, who is highly computer literate, smiles under pressure and is willing to take on additional tasks as needed.
Primary job responsibilities:
Follows established company guidelines, vision, and financial outline for completing proposalsEstablishes a project plan and manages rfp timelines ensuring that proposals meet submission requirements and are properly delivered in a designated timeframe.
Partners with the engle martin compliance team to fulfill all compliance requests, assessments and inquiries while adhering to processes and procedures as it relates to iso and grc protocols
Manages the rfp automation software and develops best practices for other departments to utilize the tool while tracking all responses and ensuring the designated responses are also saved in crm, grc and box
Utilizes the content provided from subject matter experts to update and maintain stored data, for future usage and communications in rfp automation software
Leads planning meetings, alongside senior vice president of business development, and serves as the project manager to clarify client requirements and delegate tasks to ensure client deliverables are met
Collaborates with subject matter experts across all functions (it, hr, operations, etc.) to create new content to support the responses delivered and ensures that descriptions and other materials used for rfps are up to date.
Provides metrics and analytics regarding opportunities, success rates, and revenue generation.
Leads the team through value proposition development - applying client analysis and competitive intelligence.
Research, analyze, and derive insights from information to ensure driving of key selling messages in all rfps.
Partner with subject matter experts, management, and executives to identify a winning strategy and messaging tailored to the target audience.
Establish priority for rfps and assessments to assure understanding of priorities and ability to meet deadlines.
Provides metrics and analytics regarding opportunities, success rates, and revenue generation.
Assists the senior vice president and marketing director with the contract workflow by maintaining proper documentation for modifications and updates while communicating changes to operations, compliance, and crm specialist for client instructions.
Assists in the mentorship and development of the crm specialist
Maintains and updates all associated pricing documents and manages pricing proposal requests for the sales team
Assists in leading periodic training sessions for internal team members as it relates to crm processes, powerbi, etc.
Edits and designs the finalized proposal document, communicating the proposal in various ways, as necessary, including graphic layouts and powerpoint presentations.
Communicates progress of the rfp to those involved, including those involved in the approval process.
Translate sales opportunities from the sales team to operations in crm while maintaining crm contact data records.
Assists with building and distributing reports per requests from sales team within crm, netsuite, and power bi platforms.
Acts as the business development liaison between it and the reporting team in the development of recurring, automated reporting tools and processes for use by the sales team.
Assists with maintaining a weekly news digest to assess trends in the insurance marketplace
Completes market research on customers and competitors on a quarterly basis to analyze trends, service offerings, strategies, and suggest new products or improve existing products
Additional tasks and duties as needed.
Addresses client needs and directs problem resolution as necessary.
Required education & experience:
Bachelor’s degree in marketing, business management, risk management, or an equivalent field.
2+ years of experience working in crm as well as coordinating rfp responses and sales proposals.
Demonstrated ability to problem solve.
Clear and concise presentation and written communication skills
Demonstrated experience building relationships at multiple level within a client organization.

Working conditions:
Work is generally performed in a typical office environment while adhering to updated osha and cdc guidelines and best safety practices, with limited exposure to harsh weather conditions, loud internal or external noise, fumes, or significant temperature changes.
Physical activities and requirements:
Work can involve lifting and carrying up to 10 - 20 lbs; frequent standing, sitting, walking, bending, and reaching; occasional kneeling and stooping; operating office equipment; periodic driving likely; visual acuity to prepare, read, and organize detailed hard copy and electronic documents; ability to speak and to hear the spoken word in normal face-to-face, telephonic, and web-based business communicationsWillingness to travel in a work capacity, including evening, overnight, and weekend hoursWillingness to accommodate occasional meetings and work activities that may be scheduled after normal daytime business hours.
