Job summary
The proposal coordinator for bon appétit management company will primarily support the proposal manager and proposal team on the development of new and rebid business proposals and other corporate-level project management and administrative activities as assignedWe’re seeking a candidate with strong project management experience, excellent written and verbal communication skills, an eye for design and experience using indesign and the adobe creative suite, impeccable attention to detail, and great organizational skillsExperience with juggling multiple projects under tight deadlines while maintaining attention to detail is requiredSomeone with project management or administrative support experience, who enjoys organizing people and projects, is a capable proofreader and has an eye for design would be a strong contenderThis position reports to the proposal manager and can work remotely most of the time but will be required to visit the corporate office in redwood city, ca one to two days a week depending on project deadlines.
Essential functions and responsibilities:
Work collaboratively with the proposal team and regional operations teams on the planning for and production of sales proposals.
Assist proposal manager throughout the proposal process from creation to final delivery of proposals, including assembling, packing, and shipping hard copies or formatting and submitting final digital proposals as applicable.
Set up templates for sales proposals under the direction of the proposal manager.
Schedule proposal kickoff and follow-up meetings.
Join all proposal group calls and take notes.
Create task grids for each proposal and follow up with key stakeholders on deadlines.
Coordinate production schedule under the direction of the proposal manager and review and update production processes as needed.
Quality control of proposals including “fresh eyes” proofread of proposal content and formatting review as assigned.
Maintain clean and safe work environment; perform job safely.
Other duties may be assigned.
Education and experience: ba or bs degree and 2-3 years professional experience in project management or administrative assistant roleCandidates with an equivalent amount of work experience will also be considered.
Language skills: strong written and verbal english language skills.
Other qualifications:
Understanding of advanced features of microsoft word and powerpoint, and experience with teams and excel.
Experience with adobe indesign and acrobatExperience with or desire to learn about additional adobe creative cloud products such as illustrator and photoshop as well as qvidian is also required.
Ability to juggle multiple projects under tight deadlines while maintaining attention to detail.
Strong written and verbal communication skills as well as strong editing, grammar, and punctuation skills.
Strong self-motivation to complete projects at a high degree of excellence.
Demonstrated success working without direct oversight and ability to work well in a team setting.
This role will work with a wide variety of regional and corporate leadership as well as on-site operations teams so strong interpersonal communication and diplomacy skills are essential.
Organized, detail-oriented, and process-oriented.
