The event marketing coordinator works closely with the sales team to provide support for national tradeshows and sponsorship programs (7+ events annually) to ensure successful executionThis person will be responsible for planning, coordinating, executing and measuring roi on all national meetings, tradeshows, and local sponsorshipsThe event marketing coordinator will also be responsible for managing the event sponsorship program interacting with our sponsors on a revolving basis working to ensure their participation in events provides the roi they’re seeking.
Coordinate overall trade show program including streamlining operations, vendor management & trade show portfolio Ensure that the highest standards of trade show planning and delivery are maintained through the effective management of ensuring consistency and standardization on delivery of all trade shows Craft strategy and marketing plans that deliver engagement, leads, pipeline, and sales Coordinate show contracts and association relationships Negotiates and manages supplier network for exhibit necessities (ie: exhibit components, booth talent, third party vendors, etc.) Determines appropriate equipment and products needed for the exhibit based on size and audience Coordinate shipment of properties and show services with contractors (i&d, drayage, electrical, rigging, and lighting) Manage inventory for national events including booths, promotional materials and marketing literature Lead communication to the staff and internal teams on event logisticsIncluding: pre-show meetings, daily recaps, and posts show results Executes event onsite as needed by supervising booth set-up, organizing staff and handling any onsite issues that arise Work strategically with partnership team to develop marketing events to increase partner revenue Design and execute an exposition at benefitfocus’ annual user conference one place Enter leads into crm system, create event pages, lead generation campaigns and follow up survey for staff Coordinate required contracts and financial arrangements/ process required payments Prep event planning documentation pre-show and post-show statistics Create and manage project plans; oversee productivity across all departments to keep projects on budget and on time Ensure brand guidelines are met and up to date for each event Maintain event metrics using crm system and reporting for all national events Provide periodic progress reports to management for each event project Able to work with various departments to fulfill sponsorship request Keep track of event finances including check requests, invoicing, and reporting spend; including annual budgeting Keep detailed schedule of events calendar Other duties as assigned
Bachelor’s degree required 3-5 years of corporate event marketing experience Knowledge using crm system, proficient in salesforce.com preferred Saas industry experience a plus Strong project coordination skills; ability to work independently; ability to coordinate multiple projects and priorities with varying degrees of complexity; resourceful problem solver; detail and schedule oriented. Excellent interpersonal, verbal and written communication and ability to interface with a variety of people of diverse expertise. Willingness to travel– job requires up to 30% travel Strong pc & mac skills – knowledge of microsoft word, excel, powerpoint Ability to lift up to 35 lbs.
