The role
The executive producer is a self-motivated leader and seasoned doer who is focused on the overall operations of managing and executing impactful experiential solutions for our clientsThis person has superior communication skills to navigate client relationships and a high level of accountability and dependability to ensure client and project outcomes are consistently metTeam management and oversight are key to this role; they understand how to build, manage and execute an experience from start to finish, but specialize in collaboration to guide a team in executing outstanding outcomes.

Responsibilities
Client management
Own the client-project communication that develops trust and builds lasting relationships
Ensure clear client communication regarding roles and responsibilities, scope, budget, schedules, action items and ongoing project status
Ensure adherence to standard or client specific deposit terms, terms and conditions of client contract, and billing guidelines.
Lead the development and presentation of integrated solutions that leverage agency offerings and are mutually beneficial for the client and the agency
Project leadership
Guide the development, writing and presentation of project/program plans, scopes of work, strategic roadmaps and staffing plans as they relate to upcoming project work.
Manage a team of producers and production managers working across multiple projects from concept to execution
Keep teams on schedule and on budgetFlagging when the team is at risk of going over
Ensure all necessary project management and documentation across workstreams is maintained including regular meetings, workback timelines, staffing plans, production schedules, budget matrixes, production and creative decks, meeting agendas, inventory trackers, asset lists, etc.
Create and develop project budgets and manage revenue estimates for given projects
Support the team in building and maintaining positive vendor relationships that provide quality product and integrate seamlessly into agency operations
Review and negotiate vendor and venue contracts, including price and deal memo negotiations for vendor partners and contractors
Attend site visits and walk-throughs as needed with producers
Develop and implement new/improved processes, timelines, policies, procedures, reporting, and tools including templates, practices, checklists, sops (standard operating procedures), and training materials consistently improving the advoc8 workflow
Creative
Work with an integrated team across creative, strategy and client engagement to deliver innovative, creative solutions and up leveled production quality that maintain the creative vision throughout the lifecycle of a project.
Actively participate in ideation and development of creative and strategy
Review creative concepts to ensure integrity and budget feasibility prior to sharing with client
Team leadership
Serve as a mentor and guide to producers and coordinators on projects to develop their talent and provide opportunities for growth
Continually provide constructive feedback for junior team members
Participate in identifying and recruiting team and project resources as needed
Stay up-to-date on industry trends, experiences, events, and technology tools
Requirements
Skills & qualifications
8+ years of experience in experiential production and events or closely related fieldPrevious brand or agency experience ideal.
4+ years of experience managing teams and multiple stakeholders during the course of a projectComfortable providing guidance and mentorship to junior team members.
3+ years of client facing experience; ability to guide and advise clients throughout the project process and resolve conflicts to maintain client relationship and project integrity
Broad knowledge of event planning concepts, terminology, practices, procedures, logistics, vendor negotiation and coordination with all project vendors (caterers, decor, fabrication, a/v, tech, staffing agencies, etc..), integration of event technology, content management, and leadership of onsite staff
Core production skills across a wide set of competencies (technical and creative)
Proven management of seven figure budgets for corporate clients, knowledgeable about industry costs and pricing and ability to lead budget drafting and allocations for all types of projects.
Ample experience working directly with and presenting to clients demonstrating the ability to effectively build client relationships while understanding the client’s business from a strategic level
The ability to lead, manage and motivate a large team including mentorship, coaching and professional development

Technological fluencyStrong familiarity and comfort with technology in general, specifically saas platforms / tools, and a desire to remain informed of current trends and improvements
Proficiency in google workspace (docs, sheets, slides), project management and time tracking tools
Knowledge of virtual event platforms is a plus
Can work flexible hours including nights and weekends
Is comfortable traveling 30% or more locally, nationally and internationally
On site physical demands:
Ability to remain in a stationary position for an extended period of time
Ability to lift and/or move boxes and equipment up to 50 lbs(with assistance)
Ability to position self under tables or stages, and/or lower self to floor
