Higher heights for america, a 501(c)4 organization, and its sister organization higher heights leadership fund, a 501(c)3, are rapidly growing and expanding their leadership team.
Higher heights seeks an administrative assistant who will be responsible for providing administrative support to ensure efficient operation of the office and manage the organization’s general administrative activities.
The position requires a candidate to be highly collaborative, to function with a high level of autonomy, and to work on multiple projects at once as well as time-sensitive deadlines.
Essential responsibilities and tasks
Provides general administrative support to ensure efficient operation of office;
Coordinate calendar management as well as schedule and organize meetings for senior staff;
Assist in the management of organizational databases required to communicate with membership, donors and partners.
Oversee the timely correspondence to incoming general email and mail as well as manage, thank you, and acknowledgment letters and other communications as needed.
Assist and manage a variety of mailings to members, boards, stakeholders and partners.
Completes operational requirements by scheduling and assigning administrative projects and expediting work results;
Makes travel arrangements for senior staff such as booking flights, cars, and hotel;
Supports the team by performing tasks related to organization day to day operations and event management
Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques;
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies;
Contributes to team effort by accomplishing related results as needed.
Proven administrative or assistant experience the ideal candidates will have a minimum 2-3 years of experience
Knowledge of office management systems and procedures;
Excellent time management skills and ability to multi-task and prioritize work;
Attention to detail and problem-solving skills;
Excellent written and verbal communication skills;
Strong organizational and planning skills;
In media relations, digital communications;
Ability to multi-task and operate under pressure;
Ability to prioritize competing projects, multi-task, and manage effective and efficient teams who are based in various office locations or working remotely.
Some travel may be required.
