Elite youth acting school is seeking studio administrator.

Our youth acting studio is a highly respected, fast-paced business with a community of select young actorsWe are looking for a passionate, hyper-organized administrative executive assistant, communications with proficiency in administration, management, marketing, and customer relationsOur ideal candidate has diligence and intelligence to oversee and execute the outreach and continued growth of our studio, as well as each family's journey from initial contact (via email marketing, social media), to registration, point of purchase, and on to their next class or program.
Our office manager takes care of all the office, enrollment, administrative assistant, payments, and customer service duties.
The ideal candidate will be: professional, intelligent, detail-oriented, fast working, super-reliable, super-friendly, organized, and capable of taking care of all office manager and front (virtual) desk duties while providing administrative assistance in a quickly moving and changing environment.
This is an industry-related job in a very busy, fast-paced environmentIf you are a hard worker and prepared to jump in and hit the ground running - then you are who we are looking to hire! you will need to be comfortable being on the computer all day.
We are looking for someone ready to make a commitment to a long-term relationship with our studioThis is not a side-hustle job for an actorWe want someone who will be as dedicated to our studio as we are.
Job responsibilities include but are not limited to:
Quickly and professionally scheduling and confirming appointments and enrollment in a fast-paced environment.
Answering inquiries from potential new clients and facilitating their enrollment in class and other services.
Process and track all class and coaching requests daily.
Maintaining accurate attendance records and wait-lists, and keeping classes filled to quota.
Receiving, recording, and keeping track of payments.
Providing vip networks, producers, directors, actors, managers, agents, etc with first-rate and discrete service.
Carrying out effective, efficient operating and administrative policies.
Collaborating with others on a variety of projects.
Creating and editing professional documents.
Acting as a liaison between our studio and building facilities, vendors, and contractors.
Coordinating company holidays and special events.
Required skills:
Attention to detail is an absolute must.
Outstanding customer service skills.
Consistent punctuality, reliability, and professionalism even while under pressure.
Excellent mac computer skills and proficiency in google calendar, google docs.
Ability to handle multiple requests and inquiries in a professional, friendly, and upbeat manner.
Excellent time management and prioritization skills.
Positive and a self-motivated self-starter.
Ability to prioritize and multi-task effectively in a fast-paced environment.
Strong project management skills.
Excellent communication skills - interpersonal, written, verbal.
Excellent spelling, grammar, and proofreading skills.
Flexible team player - willing to learn new tasks.
Maintain confidentiality in all aspects of work.
Must be a natural-born problem solver and address issues in a timely manner.
Knowledge of youth acting is a plus.
Must be willing to make a long-term commitment to the studio.
Organize, coordinate, and manage areas of email marketing, media, and social media.
Expertly pitch, collaborate, manage, and execute successful marketing strategies and campaigns with the team, with proficiency in copywriting and marketing.
Candidates should have at least 3 years of head office manager experience for this position.
