The ems administrative support specialist is responsible for ordering transcripts for prospective students on behalf of the education dynamics clientsThe administrative specialist is responsible for confirming eddy's client receives transcripts through the different institutions and platforms(credentials solutions, parchment and national clearinghouse)This process can involve conversations of 5-20 minutes when reaching out to institutions regarding transcript requests and follow up.
The ems administrative support specialist will handle a high volume of transcripts per month and will aid the advisor with any transcript related questions to guide prospective students through the enrollment/admission processRequesting and tracking transcripts in a timely matter is a critical part of this role.
What you will do:
Manage transcripts ordering across multiple client institutions
Order transcripts on behalf of the prospective student using different platforms (credentials solutions, parchment, national clearinghouse, script order, via fax, via email, via phone, etc.)
Document transcripts ordered in shared document resource with specific details to the order process, method and payment information
Document transcripts ordered in crm
Maintain shared document with updated institution information and ordering links
Work quickly across multiple email accounts and various programs without compromising quality of work
Escalate student case advising team or prospective students when non-third party transcript requests are not accepted or financial holds are in place
Provide details on how to request transcripts when third party request is not accepted
Follow up on transcripts ordered and notify advisors when transcripts have been received and/or ready to download
Maintain all compliance expectations in communicating transcript updates via salesforce or email communication
Answering inbound phone calls and transferring to the enrollment team and/or scheduling appointments
Additional administrative tasks as needed
