Full job description
Our client is looking for an executive assistant who is sharp, self-motivated, and wants to take the reigns on the administrative tasks.
This position is a fully remote, part-time (15 hours per week), long-term contract position, with somewhat flexible hours.
Responsibilities and activities:
This is a high-level administrative role and is a new position that will involve taking the position and running with itIt's a great opportunity for someone who likes to create and refine processes and see projects brought to completion.
Keeping the ceo on track and serving as his right-hand person: staying two steps ahead, keeping things on task and on schedule, providing reminders, ensuring he is prepared with materials, asking questions to gather information, serving as a sounding board
Supporting the ceo with daily activities, large goals, projects, and be his go-to person
Inbox management, email response (answering questions, finding solutions, highlighting action items, re-directing, etc.) in a professional manner
Meeting and appointment scheduling: ensuring he has adequate buffer and prep time, serving as a gatekeeper when needed, handling all meeting logistics, preparing materials
Marketing support such as writing newsletters, updating web pages, social media content generation
Accounts receivables, accounts payables, and general bookkeeping
Project oversight (tracking todos and deadline, determining and populating action items)
Communicating with key stakeholders (via email and phone) such as attorneys and high-profile clients
Ensuring the back-end administrative tasks are always taken care of, providing a high degree of organization, creating efficiencies and processes, using templates, etc.
Being proactive, solving challenges, and assisting with the unexpected
Special projects as needed and time allows
At least 5 yrs experience as an executive assistant, project assistant or in a similar professional role
Have your own reliable computer (mac preferred) with web camera and antivirus software, high-speed wireless internet, smart phone, and quiet working space free of distractions.
Be impressive at what you do -- no matter what your level of education; a bachelor's degree is great but not required if you do amazing work
Successfully complete several skills assessments during the interview process
Have 3 glowing references you can provide upon request
Computer, tech, and software savvy: intermediate skills in the microsoft office suite; avid user of productivity apps and online and desktop tools and software; able to find online solutions; smart and fast-learner; uses online resources to learn programs, explore functionality, and increase skills.
Email and calendar: intermediate to advanced skills in email management, scheduling, calendar organization using outlook or google apps.
Document management: file management using an internal file server or cloud tool such as google drive.
Project management/workflow management: experienced with software such as teamwork, asana, monday.com, etc.; can manage deadlines and modify projects according to changes in objective; ensures task completion.
Customer relationship management and email campaigns: experienced with crms, understands the lead generation process, and can create targeted email campaigns.
All-in-one marketing platforms: ideally kajabi; experienced with populating pages, integrating with marketing campaigns and other platforms, adding graphics and text.
Excellent written and verbal communication: can develop a sufficient knowledge base of the industry, write engaging copy, newsletter articles, and blog posts, and interact with clients, leads, stakeholders, and others in a professional and friendly manner.
Executive level support: have provided support to individuals at the executive level and understand the needs and working style of a busy executive.
Managing up: making things easier for the team by tracking deadlines, providing reminders, planning ahead, anticipating needs, ensuring they are prepared, etcYou are self-managed and self-motivated and use those skills to help others.

Ideal candidates have:
Previous experience with mergers and acquisitions (or willingness and desire to learn), or
Previous experience in the oil and gas industry (or willingness and desire to learn), or
Previous experience or familiarity with court-appointed receiving (or willingness and desire to learn), or
Previous experience with ranch management -- oil, gas, water, land use, cattle, etc(or willingness and desire to learn), and
Loves to: learn, be the go-to person, have all the answers, work with top-level people, make others happy, make someone's else's day easier
