Jobsite administrative assistant
Department: construction operations
Reports to: project manager
Flsa status: non-exempt
Jobsite location: superior, wi
Assignment duration: 12 months
Summary: provide administrative support to project site managers, staff, and employees to ensure deadlines and customer expectations are met.
Essential duties and responsibilities include the following: other duties may be assigned.
Answer phone and assist callers with questions or direct to the appropriate individual.
Organize and schedule meetings and appointments as necessary
Maintain master filing system for jobsite use, in both electronic and hard copy formats
Coordinate transmittals, mailings and large volume photocopying.
Accurately track and record craft hours worked for payroll purposes and upload file into designated payroll program.
Assist payroll with any complaints or questions regarding hours worked or pay discrepancies.
Assist in collecting complete and accurate new hire paperwork and submitting to payroll for entry.
Coordinate shipping and receiving of any parcels/letters.
Monitor consistency and accuracy of project correspondence.
Coordinate, develop, and distribute minutes of project meetings and other related documents (budgets, schedules, resource needs, etc.)
Assist with day-to-day operations.
Performs additional duties per supervisor’s direction.
Education and/or experience:
High school diploma or equivalent education required.
Minimum of two years administrative support experience, preferably in a construction environment.
Computer skills:
To perform this job successfully, an individual should have knowledge of microsoft office (word, excel, power point, outlook).
Other qualifications:
Excellent written and verbal communication.
Able to multi-task and support the needs of a busy construction site.
Must be self motivated and have ability to work independently.
Provide professional and positive assistance while working with a variety of personalities.
