Executive assistant to the founder/ceo
Reporting directly to the founder and ceo, the executive assistant manages a wide range of administrative and organizational tasks to optimize the effectiveness and efficiency of our senior leadership.
This role serves as both gatekeeper and lynchpin between the ceo’s businesses: a mental health non-profit, a wellness coaching system, and his public speaking eventsThe executive assistant is the primary point of contact for all internal and external constituents, acts as a liaison to community partners and volunteers, and coordinates goals and objectives among the various team members.
The executive assistant must be resourceful, independent, proactive, and a quick learner with excellent emotional intelligenceThey should enjoy working within a mission-driven organizationThe ideal candidate will have the ability to exercise sound judgment and critical thinking, with polished written and verbal communication skillsStrong attention to detail is essential.
Most critically, the executive assistant must possess the ability to read a complex landscape of shifting priorities, and anticipate organizational needs and resources, all while maintaining grace under pressure and a collaborative approach.
Responsibilities
Complete a wide variety of professional administrative tasks, including managing an active and complex calendar of appointments, monitoring and responding to emails and inquiries, organizing travel and agendas, and handling event logistics (including virtual meetings).
Acts as ‘gatekeeper’ for the ceo, protecting his time and resources to maximize efficiency
Clearly and professionally communicate on behalf of the ceo to his direct reports,, vendors and partners, and internal and external stakeholders
Proactively assess upcoming deadlines and initiatives across the multiple organizations, and prioritize conflicting needs
Provides leadership in building relationships crucial to organizational success, and serve as a ‘barometer’ to the ceo by communicating any potential issues
Handle confidential and sensitive information with discretion and tact
Manage ad hoc special projects for ceo
Anticipate and identify more effective and efficient ways to manage administrative tasks with professionalism and care

Qualifications
The executive assistant should be thoroughly committed to nostigmas' and 5 bridges' missionsAll candidates should have proven administrative, logistical, and relationship management experienceThe ideal candidate would be local to chicago, but the role is location non-specificExperience and other qualifications may include:
Bachelor's degree, ideally in nonprofit or business management, with at least 2 years of administrative experience; track record of effectively working in an executive environment
Unwavering commitment to excellence in managing information and attention to archival process
Excellence in logistical management with the ability to coordinate staff, manage tasks and prioritize strategic objectives
Past success working with a founder/ceo with the ability to cultivate a professional working relationship
Strong communication experience with the ability to engage a wide range of stakeholders and cultures
Strong written and verbal communication skills; a clear communicator with excellent interpersonal and multidisciplinary project skills
Ability to work effectively in collaboration with diverse groups of people
Comfortable with a virtual work environment
Passion, idealism, integrity, positive attitude, mission-driven, and self-directed
Knowledge or experience of the following systems is desirable:
Google suite: gmail, drive, docs, calendar and meet
Trello, calendly, docusign, zoom
Ascend by wix, convertkit, activecampaign
Microsoft office suite and adobe acrobat
Compensation
This part-time position (25 hours per week) ranges from $15 – $20 dependent upon experience and qualificationsGrowth opportunities may include a full time position, benefits and increased pay over time.
