The executive coordinator is a new role at the college of business and serves in a key role as the lead administrative support partner to the svp of the collegeThis individual is an extension of the svp and presents a positive organizational image to the general public, specialized communities, employees and students in support of wgu’s mission to provide students with flexible, affordable access to quality higher education In this multifunctional role you will drive consistency in processes, communication and systems across the college of business and work hand-in-hand with the svp and senior leadership team to achieve the colleges vision and operating plans.
Essential functions and responsibilities:
Represent college of business to internal and external audiences
Assist with planning, scheduling, follow-up to business discussions
Manage svp’s calendar, expenses and travel
Coordinate communications and meetings internally with cross-functional leaders
Prepare meeting materials and manage completion of follow-up items and deliverables
Plan, write and lead internal and external communications to include social media presence, press, speeches and other specialized communications
Assess inquiries directed to the svp, determine the appropriate course of action, delegate to the appropriate individual to manage
Ensure inquiries are addressed properly, efficiently and judiciouslyMonitor progress until resolved.
Process incoming and outgoing mail/email, compose correspondence to ensure timeline responses from svp’s office
Own special projects and ensure proper strategy, planning, coordination and execution to achieve desired outcomes.
Knowledge, skill and abilities:
Experience in higher education\ed tech\online learning ideal, along with experience working in a distributed environment
Ability to work with confidential information and to apply maturity and discretion in daily operational role
Strong written, verbal and content creation skills – ability to articulate concepts and ideas effectively with minimal supervisionThis will involve extensive writing and content development including social media, speeches, internal communications and working with press relations to represent svp and college of business
Experience in working with analytics to analyze data and identify trends
Efficient – organized with great attention to detail and follow-throughProject management mindset with ability to work active to-do list ensuring tasks are completed in a timely and thorough/complete manner
Experience with managing calendars, meeting planning, scheduling, all facets of travel arrangements
Experience with reviewing and responding to correspondence
Proficient in the use of microsoft office suite, social tools and productivity software
Ability to prioritize assignments, and work on multiple deadline-driven priorities, and work flexible hours as needed
5-7 years of experience working with senior level executive
Bachelor’s degree preferred
