The executive assistant / special projects coordinator provides administrative, communications, project management and analytical support to the executive director and betterhealth leadership teamThis position will assist with the cultivation, stewardship and management of betterhealth’s board of directors as well as other external relationships and will also provide extensive support and oversight of strategic and ongoing projectsJob duties include scheduling, meeting preparation and management, correspondence, and project management.
Provides administrative support, including, but not limited to: calendar management, meeting scheduling, preparation of meeting materials and project management for executive director and members of the leadership team.
Establishes and manages structures and processes that enable leadership to be most effective.
Plans and executes logistics for meetings, events, meetings and activities.
Ensures post-meeting follow-up and facilitation of next steps.
Composes and finalizes complex correspondence, meeting minutes, reports, workflow drafts, staff surveys and documents, using experience and judgment to determine what should be included in each document.
Performs research and produces executive summaries and background materials to guide stakeholders in decision-making.
Relationship management, including operating as key liaison for the board of directorsServes as point of communication to board of directors, internal and external parties.
Coordinates and execute projects that contribute to the organization’s success.
Creates processes and tracking mechanisms for organizing teams, projects and operationsEnsures appropriate cross-departmental internal stakeholders are included in project work.
Organizes staff task forces and workgroups as needed to develop procedures and implementation plans that align with the affiliate’s strategic and operational priorities.
Other administrative and project related tasks as assigned.
Bachelor’s degree or equivalent experience required
Experience and comfort working with high profile individuals
Excellent writing and oral communications skills
Detail oriented with excellent organizational skills
Proficiency in microsoft office, excel, word, powerpoint, outlook and video conferencing services
Ability to exercise discretion in handling of matters relating to employees and the board of directors
Ability to work accurately and with composure under deadline pressure
Self-directed, with the ability to prioritize and simultaneously work on multiple projects
Experience working in the nonprofit sector preferred
Administrative management experience highly desirable
Ability to thrive in a fast-paced, remote work environment
Ability to work independently, including handling multiple projects/tasks simultaneously
