Executive assistant position summary: to provide administrative and executive level support to lines for life senior administrative leadership including ceo, coo, development, finance and hrSupport will include coordination, communications, scheduling and travel along with additional administrative tasksIn addition to supporting leadership this position will assist with administrative functions and provide administrative support to the board of directors.
Executive assistant responsibilities:
Provide administrative support to senior leadership, including but not limited: to maintaining calendars, scheduling appointments, coordinating travel arrangements, preparation of correspondence, copies, and faxes, setting up and maintaining files, assisting in management of e-mail and telephone communications as requested by senior leaders; and facilitating communication with the senior leadership during their absence from the office.
Research, gather information and prepare documents as requested.
Provide administrative support for and logistical arrangements for lfl board of directors, including but not limited to board meetings; prepare reports for board of directors, and recording minutes at board meetings.
Use existing lfl databases for merging group mailings, tracking, updating contact lists.
Provide administrative support for oregon partnership projects and events as directed.
Provide administrative support with correspondence, scheduling, as relates to resource development.
Other duties as assigned.
Executive assistant qualifications:
Excellent organization and record-keeping skills
Calendar management and scheduling skills
High level of demonstrated computer skills, including microsoft office and database management
Excellent written communication skills
Ability to multi-task and work under deadlines
Ability to prioritize work and make independent decisions
Willingness to accept direction and work as part of a team
Willingness to learn new skills and ways to perform tasks
Ability to be a self-starter and maintain a positive ‘can do’ attitude
Professional, courteous manner in dealing with the public, board, staff and volunteers
Ability to handle stress.
Executive assistant preferred qualifications:
Project management experience
Degree in a related behavioral health field
Previous experience in a non profit setting
