POSITION OVERVIEWThe Sales Support Executive is responsible for working closely with global and regional sales teams, assisting and coordinating sales related administrative activities and administering sales support systems and sales data. Trade data across the business is considered key for sales. The role does not regulate / govern data but must comply in GDPR practices and safeguarding corporate data by following corporate data security practices. Offering vital administrative support to the sales team and assist with special projects is a key responsibility.
RESPONSIBILITIESData accuracy and monitoring:
- Maintain data accuracy in NextGuest for Global Regional Sales Team including travel trade, corporate, MICE, weddings, and relevant accounts to the sales team
- Under instruction from the Regional Directors of Sales to create and update new companies, contacts and input of activities where necessary
- Work with Sales to enrich the current Aman database to further analyse the date through regions, hotels and company type
- Safeguard data from human or system error being modified inaccurately by monitoring daily on all key data more a responsibility for the Data processing Supervisor
- Identify duplicate profiles and merge them and maintain the data within profiles to ensure current and accurate information is stored
- Maintain accurate IATA and/or Identification numbers for designated accounts
- Run a report of all new reservations to ensure they have been allocated an ORS number (especially coming from SynXis) both DPE and DPS
- Ensure data entry standards are adhered to when updating profiles. Coordinate any update in terms of the guest data entry manual and update the process
- Ensure that whoever handles such data also adheres to data entry and governance procedures
CRM:
- Monitoring on a daily basis the profile that do not qualify and take the necessary step to merge them or make them qualify for CRM purpose
- Establish a structure of accounts, and then assign sub account to main account in CRM
- Manage and train new users
- Coordinating the data mapping in CRM
- Attend to on demand profile / data clean-up / update requests from HOD and CRM team
Sales:
- Work on trade press clippings
- Assist with new letter creation and presentations
- Ad hoc special projects
QUALIFICATIONS- Comfortable with basic use of Microsoft Word, PPT, Outlook
- Comfortable working with complex Excel documents
- Knowledge of how CRM systems function
- Ability to work independently
- Ability to manage multiple tasks simultaneously
- Fluent in English
